Delegate routine work

Get the repeat tasks off your plate

Most businesses start with one or two recurring jobs, such as tidying CRM records or answering order emails, and add more once the routine settles in.

Day-to-day admin, done remotely

A remote assistant is a person who handles your routine office tasks over the internet, using your email, calendar, help desk, CRM or accounting software. You keep ownership of every account and set the rules for what they can see and change.

Common areas include:

  • email and calendar upkeep
  • data entry and record cleanup
  • customer email and chat replies from your templates
  • CRM updates and sales follow-up reminders
  • invoice preparation and payment chasing

The arrangement can be a handful of hours each week or a regular daily shift. It can grow as the work becomes routine.

What you can request here

You can ask for help in four areas. General admin and data entry is the most common starting point. Customer email and chat support suits businesses with a steady flow of repeat questions in Zendesk, Help Scout, Gorgias or a shared inbox.

CRM and sales admin suits teams whose pipeline lives in a CRM that nobody has time to keep current. Invoicing and bookkeeping admin covers the clerical side of the books. It is prep work only: approvals and any tax questions stay with you and your accountant.

Four steps to a working setup

Most arrangements begin small and widen over the first month or two.

  1. List the recurring tasks that eat your week and note where each one happens.
  2. Request a quote here; the service partner will get in touch to discuss them.
  3. Settle hours, coverage and price with the partner in writing.
  4. Start with one or two tasks, check the work closely, then add more.

Factors that affect cost

There is no fixed price list on this site, because the quote depends on your work. The things that usually matter:

  1. Hours per week, and whether they are steady or vary month to month.
  2. The coverage window, such as business hours in your time zone or a later shift.
  3. How complex the tasks are and how much decision-making they involve.
  4. The number of tools and accounts involved.
  5. Whether you want a dedicated assistant or a shared one.

The service partner discusses these with you and quotes directly.

Common questions

Can the assistant work in my time zone?

Usually, yes. Assistants may be based in different places, so ask the service partner where the assistant works from and how they handle US time zones. For customer-facing tasks such as chat or email support, overlap with your business hours matters a lot. For data entry or invoice preparation, a few hours of overlap for questions is often enough.

What access will the assistant need?

Only what the agreed tasks require. That might mean delegated access to a mailbox and calendar in Google Workspace or Microsoft 365, a user seat in your help desk or CRM, or a limited role in QuickBooks or Xero. Avoid sharing your own login. Create separate accounts where you can, so activity is traceable and access can be switched off cleanly.

What happens on holidays or when the assistant is out sick?

Cover arrangements vary, so ask before you sign. Some partners assign a backup who knows your process; others pause the work and catch up afterward. Keep task instructions in a shared document so anyone covering can follow them. Also agree which US holidays the assistant observes and whether any of their own holidays apply.

How do I end the arrangement if it is not working?

The proposal or agreement should state the notice period and how to stop. When you end it, remove the assistant's access from every system, rotate any shared passwords in your password manager and ask for working files and notes to be handed back. Plan a short handover if someone on your side is taking the tasks back.

Is the assistant my employee?

Normally not. The assistant is engaged by the service partner, and you contract with that partner for the service. Worker classification is a legal and tax question, so if you are unsure about your own obligations, ask an employment lawyer or accountant. The IRS also publishes general information on how workers are classified.
